When to Book Your Texas Hill Country Wedding Vendors

The Hill Country vendor market is competitive — here's exactly when to lock in each vendor to get the team you want.

The Texas Hill Country wedding vendor market is genuinely competitive for peak season dates. The best photographers, caterers, and florists in the area book out 12–18 months in advance for prime spring and fall dates. Waiting until six months before your wedding to start reaching out is how couples end up with their third or fourth choice team. Here's the booking timeline I walk every client through.

As Soon as You Book Your Venue (12–18 Months Out)

  • Wedding planner or coordinator — Wendi and other quality Hill Country planners have limited availability. Book first.
  • Photographer — Top Hill Country photographers with knowledge of your specific venue book out fast. Non-negotiable to book early.
  • Venue-required vendors — Some venues have preferred or required caterers. Clarify this immediately and get those vendors on the calendar.

10–14 Months Out

  • Caterer — If not venue-required, book early. Quality Hill Country caterers are in high demand.
  • Band or DJ — The best entertainment options in the area fill up well in advance.
  • Videographer — Often the most forgotten early booking — quality videographers book at the same pace as photographers.

8–10 Months Out

  • Florist — Talented Hill Country florists who know how to work with local seasonality and venue aesthetics are in demand.
  • Hair and makeup — For larger weddings with multiple people in the chair, early booking is essential for the best artists.
  • Officiant — A great officiant who will personalize your ceremony is worth booking well in advance.

6–8 Months Out

  • Transportation / shuttle service — Book early to secure preferred vehicles and times.
  • Cake and desserts — Popular Hill Country bakers often require advance deposits.
  • Hotel room blocks — Especially for Austin hotels ahead of popular wedding weekends.

Why Hill Country Timing Is Different

The Hill Country wedding market is more compressed than national averages suggest. Because so many weddings are concentrated in Dripping Springs and the surrounding area — often 20–30 weddings on a single peak-season Saturday across multiple venues — the demand for quality vendors on the same weekend is intense. The best vendors get multiple inquiries for every available date they have.

This is one of the most direct ways a local planner earns their value: existing relationships with vendors mean your inquiry gets priority attention, and an experienced planner knows which vendors are truly excellent versus which ones are merely available.
